Managing eDiscovery compliance email archiving

As a Global Administrator, you can configure a company mailbox to which all Syncplicity system generated emails associated with your company are blind copied (BCC). 

This feature applies to all accounts, including trial accounts, except for Personal Edition. 

Examples of the categories of Syncplicity system-generated email messages are:

  • Shared files/folders
  • User provisioning
  • Role modification
  • Administrative setting changes

To manage the settings, click admin > settings. In the Manage Settings page, locate the eDiscovery section then click the Compliance email archiving link.

On this page, you can enable or disable the feature. When enabled, you must enter the email address where you wish to collect the Syncplicity system-generated emails as described above. All system-generated emails associated with your company account are Bcc’d to the entered address.

After you enter the email address, click the Send Test Email link. This sends an email to the address to verify its validity. Make sure that the email box receives the Syncplicity test email.

Changes to this feature, such as enabling or disabling the feature and changing the email address, are recorded as events in the Audit administrator actions report under Company Settings. Also, when the feature is disabled, all Global Administrators in your company account are notified by email.

NOTE:  It is critical that the mailbox you specify is monitored to ensure it remains active and maintains enough storage space to accept email.  The Syncplicity system does not store any emails that bounce back.
